The County&rsquo;s seven divisions deliver hundreds of services and programs to our residents, such as emergency medical services, provincial offences court, three long-term care homes, 25 library branches, three museums, an art gallery, archives, public works, public health services, social services, planning and building services.&nbsp;</p> <p>We are committed to sustainability, economic growth, environmental stewardship and an enhanced quality of life through the provision of responsive and efficient services and collaborative efforts with our municipal and community partners.</p> <p><strong><em>About the Role<br /></em></strong>Completes filling of shifts for approximately 400 employees for short call and advanced booking absences. This includes arranging and scheduling time off for employees and ensuring vacant shifts are filled to meet staffing requirements and collective agreement parameters using the Departmental Staffing Guidelines procedures and electronic scheduling software.</p> <p><em><strong>Job Duties and Responsibilities<br /></strong></em>Scheduling:</p> <ul> <li>Communication with Ward Clerks and Supervisors regarding changes to shifts, vacant shifts</li> <li>Create and receive Scheduling Handover reports</li> <li>Monitor short call-in box/calls and action any shift filling</li> <li>Receive absence calls, leave requests, complete call-ins to fill vacant shifts for all departments&nbsp;</li> <li>Process shift changes and mutual requests</li> <li>Filing related to scheduling</li> <li>Complete various communications according to templates&nbsp;</li> <li>Printing rosters etc.</li> <li>Pull reports related to scheduling and workforce analytics</li> <li>Assist with payroll tracking as necessary</li> </ul> <p>General:</p> <ul> <li>Incumbents must keep up-to-date on all relevant legislation, collective bargaining agreements, County Policies and Procedures, etc. ensuring that these are implemented as prescribed.</li> <li>Incumbents must possess the physical ability to meet the duties and responsibilities of the job description and/or the requirements identified within the position's Physical Demands Analysis.</li> </ul> <p>These describe the general nature and level of work being performed by incumbents in this classification.&nbsp; They are not an exhaustive list of all job duties in the classification.&nbsp; Other duties may be assigned.</p> <p>Supervision

Requirements

Completion of a related certificate or diploma in Office Administration or Medical Office Administration, or 12 months of equivalent experience.

Strong organizational, interpersonal, problem-solving, and multitasking skills.

Proficiency with Microsoft Office software.

Experience working with collective agreements preferred.
