Overview
Schedule and book patient appointments and follow-up appointments using a computerized scheduling system, including complex interdisciplinary appointments. Adjust appointment arrangements based on patient and departmental requirements and notify patients and clinicians. Provide patients with appropriate date, time, and location information and place appointment reminder calls to patients/families. Receive and register patients in the computerized scheduling system upon arrival, ensuring demographics and information are complete and accurate. Perform referral functions including gathering missing information, data entry, receiving and processing paperwork, and scheduling referrals based on established criteria. Work with physicians, clinic nurses, and allied health professionals to schedule referrals based on clinical indicators. Provide receptionist and clerical support including answering telephones, responding to inquiries, obtaining patient files, greeting patients and families, printing schedules, and forwarding complex queries to appropriate personnel. Assemble and maintain client charts, file documentation, and request missing client information/documentation from physicians’ offices or hospitals. Maintain records through data entry, collating information, maintaining log sheets and patient statistics (attendance, treatment types, cancellations, waitlist information), and follow up with team members as necessary. Type and distribute correspondence, reports, notices, agendas, notes/minutes, and spreadsheets using word processing and spreadsheet software. Provide clerical support to the department including booking meetings, following up on action items, filing, routing paperwork, opening/forwarding mail, faxing, photocopying, preparing mailers, circulating documentation, and ordering supplies. Prepare and submit expense claims by coding invoices to correct cost centre and ensuring authorization for payment; submit check requisitions to PHSA finance. Obtain and return patient charts from Health Records by completing requisitions and collecting charts; obtain health record unit numbers for new patients. May assist the Clinical Resource Nurse with receiving/gathering information and ordering/tracking supplies. Perform other related duties as assigned
