Provide confidential administrative support to the Director and senior program staff. Manage day-to-day operations of the Director’s office. Submit HR and Finance information and respond to related questions. Complete timekeeping for staff and resolve timekeeping issues. Develop, evaluate, and implement office systems, policies, standards, and procedures. Maintain secure record keeping and coordinate office organization for employee setup/termination. Coordinate with IM/IT to set up staff on office systems (email, server access, phone systems). Support program quality assurance initiatives and the audit process by collecting and collating data. Maintain and coordinate Director and Senior Leaders calendars and travel requirements. Schedule and arrange internal/external meetings, including rooms/equipment, materials, agendas, and minutes. Attend to catering, travel, and accommodation arrangements. Provide consultation and oversight to provincial office administrative staff and coordinate hiring/training for administrative assistants. Coordinate provincial training sessions and conferences, including venue, travel, registrations, and participant/speaker coordination. Negotiate financial contracts within operating costs and budget.
