Monitor office supplies and drug cupboard; prepare centralized requisitions as required.

Coordinate maintenance services; ship and receive laundry with accuracy and timely completion.

Contact ambulance and security services when requested and provide required emergency information.

Monitor patients receiving allergy shots in case of reaction.

Maintain records of payments for flu shots.

Initiate filling of W.C.B. forms as required for patients.

Assist the Medical Office Administration Supervisor with accounts for financial recording.

Inform patients of medical plans offered if not covered under MSP.

Complete billing cards and out-of-province reciprocal billing cards after patient visits.

Support units in upholding privacy and confidentiality of personal health information.

Participate in Records Custodian training and remain current with record keeping practices, policies, and procedures (BCIT and FOIPOP).

Position Summary

BCIT’s Student Health Services Department is currently seeking a temporary, full-time (1.0 FTE) Medical Office Assistant.This position performs assessment and triaging reception services to incoming patients of the Student Health Services and Counselling & Student Development units. Provides administrative support and confidential duties to clinicians and nurses of the units. Performs booking services for patients and a variety of medical records and formats management, office administration and maintenance tasks, as well as the coordination of related ambulance and vaccination duties. Ensures a smooth operation of the office, effective customer service and general compliance with policies and procedures.

Duties & Responsibilities

DUTIES & RESPONSIBILITIES: Assesses and triages incoming patients, using independent judgment to determine attending clinician and urgency of treatment. Receives patients and ensures the information in their charts is current and accurate. Books incoming and external appointments by phone and in person for team of physicians, psychiatrist, nurses and counsellors. Ensures that intake, booking and triage procedures are appropriate to the position as indicated by the Department of Student Health Services and Counselling & Student Development. Maintains close and continuous communication with clinicians of Student Health Services and Counselling & Student Development, and provides them with a variety of administrative support services. Maintains and updates patient files, ensuring the confidential destruction of outdated files. Monitors office supplies and drug cupboard. Prepares centralized requisitions as required. Coordinates maintenance services as needed. Ships and receives laundry, ensuring accuracy and timely completion. Contacts ambulance and security services when requested by physicians or nurses, and provides them required information of the nature of emergency. Monitor patients receiving allergy shots in the case of a reaction. Maintains record of payments for flu shots. Initiates filling of W.C.B. (Worker’s Compensation Benefits) forms as required for patients. Assists the Medical Office Administration Supervisor in maintaining accounts for financial recording. Informs patients of medical plans offered if not covered under MSP (Medical Services Plan). Completes billing cards and out of province reciprocal billing cards after patient visits. Supports units in upholding privacy and confidentiality of personal health information for all the patients and clients they serve and support. Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP). Undertakes related duties as assigned, consistent with job grade of this position.

Qualifications

Education

Grade 12 completion, plus completion of certificate in Medical Office Administration of up to one year duration.

Experience

  • Two years’ general work experience plus two years practical current experience in a similar position with the ability to deal with a high level of confidentiality-related to personal health information. Experience receiving patients in a medical/health services setting. Experience with completing documents and maintaining accurate records both manually and in electronic format.

Salary Range
