The Program Assistant provides administrative, secretarial, and clerical support, including transcribing medical dictation and managing client documentation. They also act as a receptionist, greeting clients, scheduling appointments, and maintaining statistical records for program planning.

Salary Details The salary range for this position is CAD $26.42/Hr. - CAD $28.25/Hr.

Within the context of a client and family-centred care model and in accordance with established vision and values of the organization, this position provides administrative, secretarial and clerical support.

Transcribes and types a variety of medical dictation and other documentation utilizing various software applications and acts as a receptionist by answering phones, determining urgency of calls and referring to staff.

Greets clients, provides resource information and responds to various inquires.

Complies, prepares and maintains statistical records for workload monitoring and program planning.

Receives referrals, schedules and/or confirms client’s appointments, receives clients and provides information.

Types material such as correspondence, psychiatric and physician assessments, discharge reports, memos, minutes, promotional material.

Edits transcribed material for stylistic consistency and accuracy, identifies medical and verbal inconsistencies in dictation, makes corrections and resolves problems.

About the Vancouver Community Adult MHSU Teams: The Vancouver Community MHSU team supports adults of 19 years of age and older with moderate to severe mental health, substance use, and conceurrent mental health and substance use disorders or conditions.

This program is designed to be neighbourhood based and works as an interdisciplinary team to encourage collaboration and partnerships with local community services, including family physicians and other care providers.

Qualifications

Education & Experience Grade 12. Graduation from an approved program in Medical Transcription and/or Medical Office Administration Certificate, plus one (1) year recent, related experience or an equivalent combination of education, training and experience. Knowledge, Skills & Abilities Ability to communicate effectively, both verbally and in writing. Knowledge of community, social and mental health resources. Knowledge and experience in providing culturally competent support services specifically pertaining to aboriginal people. Knowledge and experience in Trauma Informed Practice, Harm Reduction and Recovery Oriented care. Ability to work independently and in cooperation with others. Ability to organize and prioritize. Ability to keyboard 5,000 keystrokes per hour. Business writing skills. Knowledge of general office procedures. Ability to establish and maintain rapport with clients. Knowledge of medical terminology. Ability to operate related equipment. Physical ability to carry out the duties of the position.
